The assignment
In this role, you will contribute to initiatives focused on publication processes, approval workflows and patent application systems. You will act as the link between business stakeholders and technical teams, translating needs into clear requirements and helping to ensure successful delivery in an Agile setting.
- Collaborate with stakeholders to gather, analyse and document business requirements related to publication processes, approval workflows and patent application systems.
- Apply Agile ways of working, including Scrum and Kanban, with hands-on use of user stories, backlog management, acceptance criteria, and DoD/DoR practices.
- Convert business needs into functional specifications, user stories and acceptance criteria, and brief development partners to support implementation.
- Facilitate workshops, meetings and stakeholder discussions to align on priorities, scope and requirements.
- Work closely with technical teams to help ensure solutions are implemented accurately and in line with business expectations.
- Support project management activities such as planning, progress tracking, and the management of risks and dependencies.
- Design and execute test plans, coordinate UAT (User Acceptance Testing), and validate that delivered solutions meet business requirements.
- Analyse and manage data related to publications and patent applications, with a focus on integrity and usability.
- Identify opportunities to improve processes and propose scalable solutions.
- Maintain relevant documentation, including process flows, system diagrams and requirement specifications.
Required knowledge and skills
- Proven experience as a Business Analyst, ideally in environments involving publications, approvals or intellectual property and patent-related processes.
- Strong knowledge of business analysis methods and tools, such as user stories, process mapping and requirements documentation.
- Solid technical understanding and the ability to communicate effectively with development teams.
- Experience with project management principles and tools; Agile and Scrum experience is considered an asset.
- Strong stakeholder management and communication skills, with the ability to work effectively with both technical and non-technical audiences.
Preferred qualifications
- Experience with workflow automation tools or document management systems.
- Knowledge of data visualisation or reporting tools such as Power BI and Tableau.
- Certification in Business Analysis, for example CBAP, or in Agile methodologies.

Location and working arrangements
This position follows a hybrid working model with an onsite presence of 3 days per week in Leuven. Fully remote work is not possible.
